This Privacy Policy explains how EazyClaims, #316, Hennur Main Road, Kalyan Nagar, Bengaluru 560043, Karnataka, India ("EazyClaims", "we", "us") collects, uses, stores and protects personal data in connection with this website (ezclaims.in) and the EazyClaims platform (together, the "Service"). We are committed to handling personal data lawfully, transparently and only to the extent needed to provide the Service.
1. Who we are
EazyClaims provides documentation software for motor vehicle insurance surveyors: digital claim record keeping, OCR data extraction and inbox integration. For personal data processed as described in this policy, EazyClaims is the data fiduciary within the meaning of the Digital Personal Data Protection Act, 2023 ("DPDP Act").
2. Data we collect
(a) Enquiry and sign-up data. When you submit our sign-up form we collect your name, WhatsApp number and any message you choose to leave, together with the page from which you submitted and your IP address.
(b) Account data. When a subscription is created we collect the details needed to operate it: the subscriber's name, firm details, contact information and billing information.
(c) Claim Data. In the course of using the platform, subscribers, their customers and garage owners upload documents relating to motor insurance claims — repair estimates, bills, policy documents, photographs and additional documents. These may contain personal data such as names, addresses, vehicle registration details and policy numbers.
(d) Inbox data. Where a subscriber authorizes inbox integration, we process the email messages and metadata needed to detect new survey assignments and issued payout notices. The integration detects and files; it does not send, delete or move mail.
(e) Technical data. Standard server logs (IP address, request time, pages requested) kept for security and reliability.
3. How we use data
We use personal data to: respond to enquiries and provide callbacks you request; provide, operate and support the Service; extract document data by OCR so forms can be pre-filled (an automated but deterministic, non-AI process used solely for the subscriber's documentation — we do not use it for profiling); issue invoices and maintain business records; and keep the Service secure. We do not sell personal data, and we do not use it for third-party advertising.
4. Legal basis and consent
We process personal data on the basis of your consent — given, for example, when you submit the sign-up form or authorize inbox access — and for the legitimate uses recognised by the DPDP Act, such as processing necessary to provide a service you have requested, to comply with law, or to respond to your own enquiry. Where processing rests on consent, you may withdraw it at any time as described in section 8.
5. Storage and security
The Service is hosted on Amazon Web Services infrastructure in the Hyderabad (ap-south-2) region, India. Data is encrypted in transit using TLS. Access to personal data is limited to personnel who need it to operate and support the Service, and our systems follow the principle of least privilege.
6. Sharing and processors
We share personal data only with service providers who process it on our instructions to run the Service — such as cloud hosting and email delivery providers — and where disclosure is required by law or lawful authority. We do not sell or rent personal data to anyone.
7. Retention
Enquiry data is retained for as long as needed to follow up and maintain a record of the enquiry. Account and billing data is retained for the life of the subscription and thereafter as required for legal and accounting purposes. Claim Data is retained for the subscriber's term and for a wind-down period of 30 days after termination or expiry, within which the subscriber may request export; it is then deleted from active systems. Server logs are retained for a limited period for security purposes.
8. Your rights
Subject to the DPDP Act, you have the right to access a summary of your personal data and how it has been processed; to correction and completion of inaccurate data; to erasure of data no longer needed for the purpose it was collected; to withdraw consent, with effect for the future; to grievance redressal; and to nominate a person to exercise your rights in the event of death or incapacity. To exercise any of these rights, contact us using the details in section 12 — we respond within the timelines the law prescribes.
9. Cookies
This website sets no analytics, advertising or tracking cookies. It is served without third-party scripts of any kind.
10. Children
The Service is a professional tool intended for adults. We do not knowingly collect personal data from children, and the Service is not directed at them.
11. Changes to this policy
We may update this policy from time to time; the "Last updated" date above reflects the current version. Material changes will be notified to subscribers by email or within the Service.
